Workflow Examples

Four concrete examples of the workflows MechBlocks designs and builds. Each one is built from the same six block categories, assembled around the way the work actually happens.

01   Proposal and RFP Support

Analyze inbound RFPs, extract requirements, find relevant experience, and draft source-grounded response content for human review.

What the workflow does: ingests the RFP, parses requirements and evaluation criteria, searches approved past proposals, staff resumes, and project history for relevant qualifications, drafts win-theme language tied to your firm's voice, cites source material, and routes a structured response packet to the proposal manager for review and assembly.

Blocks involved: Knowledge (proposals, resumes, project history) · AI (extraction, retrieval, drafting) · Workflow (intake → draft → review) · Governance (source citations, approved content only) · Experience (proposal-manager review screen).

02   Resume and Qualification Matching

Match employee resumes, certifications, roles, and project history to pursuit requirements without manually searching scattered documents.

What the workflow does: takes a pursuit description or RFP requirements list and returns a ranked set of staff candidates with the specific past projects, certifications, and qualifications that support each match, citing the source documents so the BD lead can verify quickly.

Blocks involved: Knowledge (resumes, project history, certifications) · AI (matching, ranking) · Governance (permission-aware retrieval) · Experience (BD-facing ranked list with source links).

03   Project Knowledge Retrieval

Turn past projects, documents, and approved content into a searchable workflow for marketing, business development, and operations teams.

What the workflow does: sits across SharePoint, project archives, marketing assets, and approved content libraries. Surfaces relevant project examples, marketing collateral, prior client work, and reference materials in response to natural-language queries — grounded in approved sources only, with source citations on every answer.

Blocks involved: Knowledge (SharePoint, project archives, marketing library) · AI (retrieval, summarization) · Governance (role-aware access, audit trail) · Integration (Microsoft 365, SharePoint) · Experience (Teams or web search interface).

04   Document Review and Summarization

Extract key details, summarize long files, flag missing information, and route outputs through human review before action.

What the workflow does: ingests inbound documents (contracts, specifications, technical reports), extracts a structured summary of key terms, flags missing or ambiguous information, and routes the structured output through a human approval step before downstream use.

Blocks involved: Knowledge (inbound documents) · AI (extraction, summarization, gap detection) · Governance (human approval gate, audit logging) · Workflow (intake → extract → flag → review → approve) · Experience (reviewer screen with original document side-by-side).

These four workflows share the same architecture pattern: the right knowledge sources, the right AI capabilities, governance designed in, human review where it matters, and an interface the team can actually use. The shape of your workflow is different. The architecture is the same.
